Creating Review Cycles
In this article, you will learn how to create cycles for organizational reviews.
The process is organized into clear steps, displayed in numerical order on the left side of the page, to guide you through the setup:
- Define: Provide a meaningful title and description for the cycle to help participants understand its purpose.
- Add Questions: Design tailored questions that align with your specific evaluation goals.
- (For the Value Engagement Review, this step is replaced with Add Values, where you can select values from the Organization Culture section.)
- Scoring: Set scoring criteria to measure performance outcomes (Only for 360 Review ) effectively.
- Choose Employees: Select the employees who will participate in the review cycle.
- Peer Assignment: Assign peers for evaluations.
- Set Due Dates: Specify the start and end dates for the review cycle to ensure timely completion.
- Preview: Review all the settings and details before finalizing the cycle to avoid errors.

Note:
The setup process may vary depending on the type of review. For example:
360 Review:
- You’ll need to select the type of evaluation (Self, Manager, Peer, or Upward).
- You’ll need to include competencies from the Competency Library and assign them specific weights to ensure alignment with organizational goals.
- The Scoring step is unique to the 360 Review and is not part of other review types.
Value Engagement Review:
- You’ll need to define and assign values to assess how effectively employees embody and demonstrate the company’s core principles in their daily work, using a predefined grading scale.
How to Create a 360 Review Cycle:
1. Navigate to the Perform Module.
2. Select Reviews from the menu and open the Cycles section.
3. Choose the 360 Review type and click the Add button to create a cycle.
4. Follow the sequential steps outlined on the left panel.
- Define the Review: Provide the review title, description,
- Set the evaluation period.
- Select the type of evaluation (e.g., Self, Manager, Peer, or Upward) and set visibility preferences (All Visible, Only Self)
- All Visible: All feedback and evaluations are visible to all designated reviewers
- Only Self: Feedback is visible only to the individual who
provided the evaluation - Click Submit and
Continue to proceed to the next page(Add Questions) or click Save and Close to save your progress and exit the setup process.


Step 2. Add Questions
On the Add Questions page, you need to add competencies and additional questions.
Adding Competencies:
- Click the Add Competencies button to include competencies in the review.
- Select the desired competency types from the options provided.
- Competencies are sourced from the Competency Library in the Grow section, ensuring alignment with organizational standards.
- If you want the reviewer to leave feedback later during the evaluation, select the Allow Comment checkbox.
Adding Additional Questions:
- Add Question: Write the main question you want responders to answer.
- Description: Provide additional context or clarification to help responders understand the question's purpose.
- Type: Select the format for the response (Multi-select dropdown, Single-select, dropdown, Radio buttons, etc)
- Options: For question types like dropdowns or radio buttons, add the possible answer choices that responders can select.
- Required: Use the Required toggle to specify whether the question must be answered before submission.
- Who is Responder: Specify who will answer the question by selecting one of the following:
- Manager
- Upward
- Self
- Peer
- Only the responders selected during the Step1 (Define) will be visible
- Once all fields are completed, click Submit and Continue to proceed to the next page (Scoring), or click Save and Close to save your progress and exit the setup process.

Step 3. Scoring
Adjusting the Weighting of Competencies
On this page of the cycle creation process, you must adjust theweight of each competency to reflect its relative importance in the evaluation:
- Enter the weight value in percentages next to each competency.
- Click Submit and Continue to proceed to the page for adding employees.
- Or click Save and Close to exit the process and continue later.
Note: The total weight of all competencies must equal 100%. If the sum does not reach 100%, the system will prompt you to adjust the weights accordingly.

Step 4. Choose Employees
In this step, you’ll add the employees to be reviewed.
Click the Add Employees button to select the individuals. Once selected, click Submit and Continue to proceed to assigning reviewers.

You can delete the added employee by clicking the Bin icon ✎.
- Choose the employee for whom you want to assign reviewers.
- Click the +Assign button next to the selected employee's name.
- Assign individuals for each evaluation type (e.g., Self, Manager, Peer, Upward).
- Once you’ve selected the reviewers, click Assign to finalize the assignments.
- After assigning all the necessary reviewers, click Submit and Continue to proceed to the Set Due Dates page.
Please note that each employee must have their own assigned reviewers, and reviewers cannot overlap across employees. Additionally, each employee must have at least one assigned reviewer.

Step 6. Set Due Dates
At this stage, you’ll specify the start and end dates for the review period. By default the previously defined dates are set, you can modify them.
To set the dates:
- Select the relevant evaluation type.
- Specify the desired times.
- Click Submit and Continue to proceed to the final step, Preview.

Step 7. Preview
This is the final step of the review configuration. Review the details on this page and click the Publish button to complete the setup process. Once published, the review will have an Active status if the start date of the review period has begun, or an Upcoming status if the start date is still in the future. Please note that you can still edit the settings before publishing the review.
Note: If you stop the setup process at any step by clicking the Save and Close button, the review will remain in Draft status until it is published.
Tip: Use the Back button to go to the previous steps or click on the step number on the left panel.

Step 1. Define
- Define the Review: Provide the review title, description,
- Set the evaluation period.
- Click Submit and Continue to proceed to the next page(Add Questions) or click Save and Close to save your progress and exit the setup process.

On this page, you can add additional questions to the review. You can also select a pre-defined template previously created in the Managerial Questions section. The selected template will be displayed along with its questions.
Adding Questions
- Add Question: Write the main question you want the manager to answer.
- Description: Provide additional context or clarification to help the individual understand the question's purpose.
- Type: Select the format for the response (Multi-select dropdown, Single-select dropdown, Radio buttons, etc.).
- Options: For question types like dropdowns or radio buttons, add the possible answer choices for the individual to select.
- Required: Use the Required toggle to specify whether the question must be answered before submission.
- Once all fields are completed, click Submit and Continue to proceed to the next page (Choose Employees), or click Save and Close to save your progress and exit the setup process.

Here, you need to select a manager and assign reviewers for them. For instructions on how to add employees, refer to the description provided in Step 4 of the 360 Review section ☝.
In this step, assign reviewers for the managers' performance evaluation:
- Click the Assign button, select the reviewer(s) from the dropdown menu, and then click Assign again to confirm.
- Once you’ve selected the reviewers, click Save and Continue to proceed to the Set Due Dates page.

Step 5. Set Due Dates
Specify the start and end dates for the review period:
- Specify the start and end dates, along with the desired times.
- Click Submit and Continue to proceed to the final step, Preview.

Note: The Preview page is the same across all review setups, providing a consistent experience.
How to Create Potential Performance Review Cycle:
1. Navigate to the Perform Module.
2. Select Reviews from the menu and open the Cycles section.
3. Choose the Potential Performance type and click the Add button to create a cycle.
4. Follow the sequential steps outlined on the left panel.
Step 1. Define
- Provide the review title, description
- Set the evaluation period.
- Click Submit and Continue to proceed to the next page(Add Questions) or click Save and Close to save your progress and exit the setup process.
Step 2. Add Questions
In this step, you will:
- Add insightful questions to assess employee potential and performance. (Refer to the detailed description in Step 2 of the Manager Performance Review.)☝
- Understand the specific criteria for each rating level (High, Low, Average) by clicking the See Explanation link.
- To hide the details and return to the original view, click the Hide Explanation link.
- Check the Allow Comment box to encourage reviewers to provide detailed feedback.
- Click Submit and Continue to proceed to the Choose Employees page.

Step 3. Choose Employees
For instructions on how to add employees, refer to the description provided in Step 4 of the 360 Review section ☝.
Step 4. Peer Assignment
Assign reviewers for the employees' potential/performance evaluation:
- Click the Assign button, select the reviewer(s) from the dropdown menu, and then click Assign again to confirm.
- Each employee must have at least one assigned reviewer.
- Once you’ve selected the reviewers, click Submit and Continue to proceed to the Set Due Dates page.

Specify the start and end dates for the review period:
- Specify the desired times.
- Click Submit and Continue to proceed to the final step, Preview.

Step 1: Define
- Provide the review title, description,

Adding Values:
- Click the Add button and select the values you want to include.
- If you want the reviewer to leave feedback later during the evaluation, select the Allow Comment checkbox.
- Click Submit and Continue to proceed to the Choose Employees step.

Step 3. Choose Employees
In this step, add the employees who will be assessed during the Value Engagement Review. For detailed instructions on how to add employees, refer to Step 4 of the 360 Review section ☝.
Assign reviewers to evaluate employees during the defined review period. For detailed instructions on adding peers, refer to the steps outlined in the Potential Performance Review section.☝
