Creating and Managing 1-on-1 Meetings

Once you've created agenda templates, you can start organizing your 1-on-1 meetings.

Schedule meetings with:

  • Team: Schedule meetings with employees who report directly to you.
  • Peers: Meet with colleagues from other teams or departments (who are not part of your direct reporting hierarchy).
Note: Employees do not have permission to organize meetings with their managers.

Creating 1-on-1 Meeting:


  1. Go to the Perform tab and select Manage 1-on-1
  2. Select either Team or Peers to determine the context of the meeting
  3. Choose the employee you want to meet with from the existing list

    • The number next to the employee indicates the number of scheduled 1-on-1s       pending or completed with that individual
  4. Click the +Create 1-on-1 button
  5. Specify meeting details:
    • Type: Choose the meeting type (e.g., 1-o-1, assessment)
    • Date and time: Set the desired date and time for the meeting
    • Duration: Select the length of the meeting
    • Recurrence Cycle: Decide if the meeting should be repeated (e.g., weekly, monthly)
    • Reminder: Set a reminder for the meeting (e.g., 24 hours before)
  6. Prepare the agenda:
    • Templates: Choose an existing agenda template 
    • Talking points: Add specific discussion topics using the +Add Talking Point button
      • You can rearrange them by dragging and dropping

    • Save Agenda as template: Save a customized agenda as a private template for future use
      • Give a unique name to your template and leave a comment
  7. Review the meeting details and click Save to confirm

The created meeting's details will be displayed within the corresponding tab (team/peers) in a list view:

  • Type: The type of meeting (e.g., performance review, goal setting).
  • Start Date: The date of the meeting.
  • Recurrence Cycle: Whether the meeting is a one-time or recurring event (e.g., weekly or monthly)
  • Next Meeting Date: The date of the next meeting if it's recurring
  • Meetings: The total number of scheduled meetings
  • Skipped: The number of meetings that have been skipped
  • Pending: The number of upcoming meetings
  • You can refine your meetings' list based on the meeting type and recurrence cycle using the Filter button, and to manage a 1-on-1 meeting click on the meeting type.

    Managing 1-on-1 Meeting:

    Meeting Details:

    • Header:

      • Employee Information: View the employee's name, status, position, level, branch, department, reports to, and corporate email
      • Meeting Schedule: See the start date, recurrence cycle, and next meeting date

    • Meeting Actions:
      • Add Talking Point: Add new discussion topics to the agenda.
      • Add Shared Notes: Record notes that can be viewed by both parties
      • Add Action Item: Assign tasks or follow-up actions
      • Add Private Note: Record personal notes that are only visible to you
      • Reschedule Meeting: Change the date and time of the meeting using the Reschedule button
      • Copy Meeting: Use the Copy button to create a duplicate of the meeting.
      • Skip Meeting: Use the Skip button to cancel the current meeting
        • When skipping a meeting, please provide a reason for the cancellation
      • Complete Meeting: Use the Complete button to mark the meeting as finished

    Important! When you complete a meeting manually, you'll be prompted to edit your shared notes. Before doing so, make sure you've configured the editing settings in the Settings section. These settings determine the deadline for making changes after a meeting is completed.
