Tracking and Managing KPIs
Effectively monitoring key performance indicators (KPIs) is crucial for understanding progress, identifying areas for improvement, and ensuring alignment with strategic goals. Our system provides robust tools to help you track KPIs across different organizational levels. You can monitor your KPIs, your team's KPIs, and those assigned to your department. These are organized under their respective tabs: Personal, My Team, and Department.
- Personal: This tab is dedicated to KPIs directly relevant to your performance and responsibilities. It is further divided to provide clarity:
- Assigned to Me: Here you will find all KPIs where you are designated as the owner or contributor. These are the KPIs you are directly responsible for achieving.
- Created by Me: This section displays KPIs that you have created within the system, regardless of who is currently assigned as the owner or contributor.

- My Team: Here you see the KPIs being actively pursued by your direct team. This includes KPIs where your team members are owners or contributors, allowing you to monitor collective progress.

My Department: This tab displays all KPIs assigned at the departmental level. This tab gives you a clear overview of how your department as a whole is performing against its strategic objectives.

Sub-Departments: This tab displays the KPIs for all sub-departments that fall under your main department. This allows you to monitor the progress of specific, smaller teams and initiatives within your broader departmental structure.
Regardless of which tab you are in, every KPI will display the following key criteria:
- KPI Name and Status: The name of the KPI, with a tag indicating its current status (e.g., Active, Approved, Waiting for Approval).
- Department: The department to which the KPI is assigned.
- Created by: The name of the user who created and assigned the KPI.
- Progress Bar: A visual representation of how close the KPI is to reaching its annual target.
- Weight: The relative importance of the KPI for calculating an overall performance score.
- Owner and Contributors: The individuals responsible for managing and contributing to the KPI.
- Target: The specific goal you're aiming for.
The way a KPI's target is displayed can differ depending on how it was configured:
- Simple Target: Some KPIs have a direct numerical target. This is a single, fixed goal you are working to achieve (e.g., Target 20%).
- Formula-Based Target: Other KPIs use a formula or a baseline to determine the target. This shows a more dynamic goal calculated based on an established formula (e.g., ≥ 40% per year). In these cases, you'll see a Baseline value (your starting point) and a calculated Target (the goal you need to hit), such as 50% and 70%, respectively..

Each tab (Personal, My Team, My Department, Sub-Departments) provides specific actions to help you manage and interact with your KPIs effectively, with options tailored to each view:
Personal KPIs:
- Modify Weights: Adjust the relative importance of your KPIs.
- Perform Check-ins: Track and update progress, update status, and provide feedback on your KPIs.
- Assign to: You can also use the Assign to option to delegate the KPI to another user for management.

My Team KPIs:
- Modify Weights: Adjust the relative importance of KPIs assigned to your team members.
- Perform Check-ins: Track and update progress, update status, and provide feedback on your team's KPIs.
- Add KPI: Create new KPIs directly from this view, often assigning them to team members.
- Export KPI: Download your team's KPI data for external analysis or reporting.
Copy: Create a duplicate of an existing KPI.
Assign to: Reassign an existing KPI to another person within your team.
Delete: Permanently remove a KPI from the system.
Note: KPIs with an Active status cannot be deleted. You must use the Archive function to remove them from your active view while preserving their historical data.

- My Department KPIs
- Monitor the progress and performance of KPIs assigned to your department.
Assign to: Reassign an existing KPI to another person within your department.

- Sub-Departments KPIs
- Monitor the progress and performance of KPIs assigned to your department.
Assign to: Reassign an existing KPI to another person within your department.

Performing Check-Ins
- Select the Personal or My Team tab, then select the Assigned to Me or Created by Me tab.
- Click on the Check In button next to the KPI you wish to update.
- In the opened sidebar, you will see the KPI's name, its Current Period, and Current Value, along with the Target value.
- To update the KPI's progress, enter the New Value in the designated field.
- You can also add comments related to this check-in. Go to the Comments tab at the bottom of the sidebar and enter your feedback in the field.
- Once you have entered the new value, click the Check In button within the sidebar to record your update.
- The system will automatically determine the KPI's status based on the percentage range. The results will be immediately reflected on the KPI's progress bar, with its color corresponding to the KPI's status range (for example, red for a "failed" range or green for "success").

Tip: When performing check-ins on KPIs that require approval, the progress results will only appear after the entire approval process has been finalized. Ensure you check the approval flow settings for the current KPI.
You won't be able to perform check-ins for the archived KPIs. However, you can view their details and historical check-ins in the Archived section by clicking on their names.

Modifying Weights
Define employee performance by assigning appropriate weights to each KPI.
- Choose an employee from My Team whose KPIs you want to prioritize or your KPIs from the Personal tab.
- Click the Modify Weights button
- In the opened sidebar window, set a percentage value to each KPI, ensuring the total weight equals 100%
- Use Distribute Equally to assign equal weights or manually adjust values for customized prioritization
- Click Save to apply the weight changes or Cancel to discard them

Adding KPIs
To add a KPI, click the Add KPI button. You will then be redirected to the General Detail step of the KPI creation process.
Exporting My Team's KPIs
Click on the Export KPI Report button to download the employees' KPI data.
