Hires Reports

The Hires report provides valuable insights into your organization's recruitment efforts. This report allows you to visualize:

Number of New Hires: See a breakdown of the active employees who were hired or are scheduled to join the company within the chosen timeframe.

Hiring Trends Over Time: Analyze trends in new hires by month to identify peak hiring periods or areas for potential adjustments

How to Access Your Hires Reports

  1. Navigate to the Reports module in the main menu
  2. Select People Management from the Basic section
  3. Choose the Hires report card and click View

Upon opening the Hires report, you'll see data for the current period (past 12 months, starting from the first day of the current month and ending on the last day). This timeframe provides a comprehensive view of your recent hiring trends, while also allowing you to analyze historical data for a broader context.

Report Layout

Graph/Calendar View: The Hires report opens with a graph view, making it easy to see trends and patterns in your hiring activity over time. This allows you to identify peak recruitment periods, monitor hiring velocity, and track progress toward your hiring goals. You can easily switch between the default Graph view📈 and a Calendar view📅 using the provided icons.

Data Breakdown: Both the Graph and Calendar views offer a comprehensive breakdown of each new hire within your chosen timeframe. Here's the information you'll see for each new employee:

  • ID
  • Employee Name (Clicking the name opens the employee's profile in a separate window.)
  • Hire Date
  • Position
  • Professional Level
  • Branch Office
  • Department
  • Employment Type (e.g. Full Time, Part Time)

Customize Timeframe: Use the Date Pickers located above the graph or calendar view.

  1. Click on the calendar icon next to the Start Date field
  2. Select the year you want to analyze
  3. Choose the specific month within the selected year
    • The End Date automatically adjusts to the last day of the month twelve months after your chosen Start Date. For example, if you select March 1st, 2023 as the Start Date, the End Date will automatically populate as March 31st, 2024.

Filter Reports: Use the provided filters to narrow down your data based on specific criteria such as Department, Position, Employee Status (e.g., Active, No Position, Terminated), etc.

Group By Feature: Gain even deeper insights into your workforce composition by grouping the data based on various options:

    • Employee Count
    • Branch 
    • Department
    • Employment Type
    • Gender
    • Position

Note: The Filter functionality can be accessed from both the main report page and the sidebar menu for your convenience. These filters offer the same functionality, regardless of where you access them. Selecting options in any filter will produce analogous results across all filters.

Hires Report Graph View

The Hires report opens with a graph view, providing a clear visual representation of your hiring activity over the chosen timeframe (the past 12 months). This graph dynamically adjusts based on your selections in the Group By dropdown menu. This allows you to analyze trends in new hires for specific areas of your recruitment efforts, such as: department, branch, position, etc.

Group by View:

Hires by Employee Count

This chart depicts the number of new hires over a specified period. It opens by default, making it the first thing you see when you access the Hires report.

X-axis (Horizontal): Represents each month within the selected timeframe

Y-axis (Vertical): Reflects the total number of hired or soon-to-be-hired employees for each corresponding month

When you hover your cursor over a specific data point (month and employee count) on the graph, a tooltip appears. This tooltip displays the exact number of employees who were hired as of the first day of that month.

Hires by Branch

The Hires report allows you to visualize hiring activity for specific branches within your company. Here's how to interpret the data:

X-axis (Horizontal): Represents each month within the chosen timeframe

Y-axis (Vertical): Shows the total number of hired or soon-to-be-hired employees for a particular branch during each corresponding month

When you hover your cursor over a data point (month and employee count) on the graph for a specific branch, a tooltip appears. This tooltip displays the number of employees who were hired for that branch as of the first day of the month.

Note: The graph uses distinct colored lines to differentiate each branch office.

Hires by Department

The Hires report lets you explore the hiring trends within specific departments. Here's how to interpret the data:

X-axis (Horizontal): Represents each month within the chosen timeframe

Y-axis (Vertical): Shows the total number of hired employees for departments that have new hires during each corresponding month

When you hover your cursor over a data point (month and employee count) on a department's line graph, a helpful tooltip appears. This tooltip displays the exact figure of employees who were hired for that specific department as of the first day of the month.

Note: Departments are shown by separate colored lines on the graph.

Hires by Employment Types

This view of the Hires report helps you understand how your new hires are distributed across different employment categories. Here's what the data represents:

X-axis (Horizontal): Shows each month within the timeframe you've chosen.

Y-axis (Vertical): Displays the exact number of newly hired employees categorized by their employment type (e.g., Full-Time, Part-Time).

By hovering your cursor over any data point (where a month intersects a line representing employee count for a specific employment type), you'll see a helpful tooltip appear. This tooltip provides the precise number of new hires for that specific employment type (Full-Time, Part-Time) as of the first day of the corresponding month.

Note: The graph uses lines in unique colors to differentiate between employment types.

Hires by Position

This section of the Hires report allows you to analyze trends in how you're filling specific job titles within your organization. Here's what the data represents:

X-axis (Horizontal): Shows each month within your chosen timeframe.

Y-axis (Vertical): Displays the number of newly hired employees for each specific job title as of the first day of the month.

By hovering your cursor over any data point (where a month intersects a line representing the hired employee count for a particular position), a helpful tooltip appears. This tooltip shows the exact number of employees currently holding that specific job title on the first day of the corresponding month.

Note: Lines on the graph are colored uniquely to distinguish between different positions.

Hires Report Calendar View

Click the Calendar icon 📅 to switch to the Hires report in a calendar format. This view allows you to see a detailed breakdown of new hires by month.

Columns: Each column represents a month within the chosen timeframe, as specified by the Date Pickers.

Rows: The rows reflect the selections you make from the Group By dropdown menu. This allows you to analyze new hires based on various criteria, including:

  • Branch: Track the number of new hires joining specific branches on the first day of each month. This lets you see hiring trends across different locations.
  • Department: Analyze new hires by department (Employee Count) to identify areas experiencing growth or needing potential staffing adjustments. Examining the Employee Count for each department will reveal hiring trends within specific teams.
  • Employment Type: See a breakdown of new hires by their employment type (e.g., Full-Time, Part-Time) on the first day of each month.
  • Position: Monitor how many new hires are filling specific job titles at the beginning of each month.
  • Employee Count: Reveal the cumulative number of employees hired within the chosen timeframe.

Employees' list: Displays all employees within your organization for the chosen timeframe. Each employee entry provides relevant details such as position, level, branch, and more.

Export Graphs

Easily export the report's graph as a PDF or Excel file using the Export button.
