The Spark.work AI Assistant seamlessly integrates into your Microsoft Outlook, transforming it into a more intelligent and efficient hub for your daily tasks. This integration empowers you to simplify your hiring processes, manage your communication with candidates effortlessly, quickly understand email conversations, and stay organized with your projects and meetings – all directly within your familiar Outlook environment.
Smart Applicant Management
- Create Applicants Effortlessly: When you're managing recruitment, the AI Assistant can help by automatically pre-filling applicant forms. It suggests relevant candidate profiles based on the context of your emails, reducing manual entry and saving time.
- Generate Email Replies: No need to spend time crafting responses to every applicant. The assistant uses predefined templates and applicant-specific details to create personalized replies, helping you stay professional and responsive with minimal effort.
Email Summarization
- Understand Emails at a Glance: Skip the long threads. The assistant summarizes email content, giving you a clear snapshot of the key points and next steps. Perfect for staying on top of communication without the overwhelm.
Project and Meeting management
- Stay Organized and Connected: View all the projects and meetings you're involved in directly within Outlook. Instantly access relevant information, reach out to teammates via email, and join scheduled meetings with just a click — all without leaving your inbox.
Getting Started: Install the Spark.work AI Assistant
- Open Outlook and go to the top menu bar.
Click on the Get Add-ins button.
In the Add-ins window, use the search bar to look for Spark.work AI Assistant.
Once found, click Get it now to install the add-in.
After installation is complete, close and reopen Outlook to activate the assistant.
You’ll now see the Spark.work AI Assistant icon within your email window.
Click the icon to launch the assistant dashboard and start using its features right from your inbox.

Create an Applicant from an Email:
Open Microsoft Outlook application and access your email inbox.
Click on the email you've received from the person you want to consider as an applicant.
Click the Spark.work AI Assistant Icon. This will open the Spark.work AI Assistant dashboard within Outlook.
Within the Spark.work AI Assistant dashboard, look for a Create Applicant option.
Review Pre-populated Information. The Spark.work AI Assistant will analyze the content of the currently open email. It will then display an applicant creation form within its dashboard, with fields pre-filled with information extracted from the email (name, email, skills, etc.).
Carefully review the pre-filled fields.
Review your suggested profile.
- Select an existing profile if it's the same person.
- Confirm that this is a new applicant if no matches are found or if it's a different person.

Project Management:
- Navigate to the Profile section within the Spark.work AI Assistant in Outlook.
- Within the Profile, select the Projects section to see a list of all projects associated with the current user or account.
- For each project, you can view the list of team members and collaborators involved.
- From the project view, you can quickly initiate email communication with any project member directly through Outlook, facilitating seamless collaboration and information sharing.
Meeting Management:
- Within your Spark.work AI Assistant profile in Outlook, select the Calendar section.
- The Calendar feature allows you to synchronize your scheduled meetings and appointments with Outlook.
- You can join meetings directly from this calendar view within Outlook.
Email Summarization:
- Open the Spark.work AI Assistant dashboard within your email window.
- Choose the Summarize Email option within the dashboard.
- The assistant will analyze the selected email thread and provide a concise summary, highlighting key points, decisions, and action items.
Note: This feature allows you to quickly understand the content of lengthy emails without needing to read every message in detail.
- Open the Spark.work AI Assistant dashboard within your email window.
- Choose the Generate Reply option within the dashboard.
- Before generating your reply, you can customize it further:
- Adjust the Tone: Select the desired tone for your reply (e.g., Official, Polite, Friendly) from the available options.
- Set Word Count: Specify the approximate desired length of your reply.
- The assistant will analyze the original email and provide suggested reply options based on predefined templates or the email's content.
- After reviewing the generated email, click Reply button to send a response.
